Job Title: Office Operations Manager
Reports to: Principal/ Creative Director
Role Summary: Youwill oversee the daily business operations of the studio, with a heavy focus onproject and time tracking, office administration, and ERP system integrity. Youare responsible for ensuring that the studio’s "back office" is asprecise and well-lit as the projects we design.
KeyResponsibilities
1. ProjectMonitoring & Workflow Tracking
- Track project milestones, deadlines, and deliverables across all active projects
- Manage client inquiries, fee proposals, contracts, and approvals
- Maintain organized project documentation and quality control standards
2. TimeTracking & Resource Management
- Oversee weekly timesheet compliance and phase allocation
- Produce utilization and productivity reports for leadership
- Support workload planning and identify resource bottlenecks
3. ERP& Systems Administration
- Maintain accurate project, client, and billing data within the ERP system
- Improve workflows to streamline project tracking and reporting
4. Support(Accounting/Finance)
- Prepare draft invoices and coordinate approvals
- Monitor receivables/payables and follow up on outstanding payments
- Support audits, VAT preparation, and bank reconciliations
RequiredSkills & Qualifications
- Experience: 5+ years in a Business or Office Manager role, preferably with experience within the Construction / Design discipline. Experience with a Lighting firm will be considered an advantage.
- Advanced Microsoft Office Skills: Excel, PowerPoint, Word.
- Software Mastery: Experience in project management/accounting software.
